Business Workflow Automation
Last updated:
MotionInk automates repetitive business workflows across the software your team uses. We connect intake, validation, approvals and status updates so each step has an owner and a visible outcome. AI is added when a step needs language interpretation; straightforward rules remain straightforward rules.
Which workflows are worth automating?
Start with work that happens repeatedly and has a clear result: a request becomes a record, a record needs approval, or a completed step must notify another system. Time spent copying the same information is a useful place to look.
- Lead and request intake
- Validate submissions, create the right record and route the request to the responsible team.
- Approvals and notifications
- Prepare the information a decision-maker needs, wait for approval and notify the next participant.
- Operations across systems
- Connect order updates, internal tasks and reporting without asking staff to reconcile the same status in several places.
How do we avoid duplicate or missing work?
An integration must account for delayed responses, repeated events and partial failures. We define how a request is identified, what can safely retry and how a person sees work that could not finish.
The system should distinguish received, waiting, failed and completed work. Completion means the destination confirmed the result. Where an action cannot safely be repeated, the workflow needs a check or a human decision before another attempt.
How does an automation project run?
- Map the handoffs Document the trigger, inputs, decisions, systems and people involved in the current process.
- Agree the boundaries Choose the first workflow, required approvals and the source of truth for each field.
- Build and test the exceptions Exercise missing inputs, repeated requests, unavailable systems and rejected approvals alongside the normal path.
- Launch with a recovery path Make progress visible and give the team a way to retry, correct or take over incomplete work.
Do we need AI or a new platform?
Many useful automations need neither. A rule-based integration is appropriate when the inputs and decision are already structured. Language models can help with unstructured messages or documents, while validated code handles the final action.
We assess your current systems before proposing replacements. The estimate identifies integration access, any data cleanup and recurring infrastructure needs. The first release should solve a complete handoff the team can use.
Before we begin
Can we keep our current tools?
Usually the first step is to assess the tools you already use. Available APIs, exports and permissions determine the integration options. We propose a replacement only when the current system cannot support the required workflow.
What happens when a connected service is down?
The workflow needs explicit failure handling: bounded retries where safe, visible pending work and a recovery or human handoff path. The exact behavior depends on whether the action can safely be repeated.
Can a workflow wait for human approval?
Yes. Approval is a step with its own state and authorized decision-maker. The workflow continues only after the decision, and records a rejection or exception instead of silently treating it as approval.
